  • 1- Information about the service:

    Fundació ESADE offers its students and teaching, research, administrative and service staff an institutional e-mail service. This service provides a web-accessed e-mail account, pop (and pops) as well as  imap (and imaps).
    The e-mail addresses assigned to different users are created as follows:

    firstname.surname@esade.edu For teaching, research, administrative and service staff.
    firstname.surname@alumni.esade.edu For students.
     
    Details of the services provided by Fundació ESADE's e-mail system are as follows:

    > Web access to e-mail via the intranet or via https://webmail.esade.edu
    > pop3 access using the following address pop3.esade.edu
    > pop3s access using the following address pop3.esade.edu and port 995
    > imap4 access using the following address imap4.esade.edu
    > imap4s access using the following address imap4.esade.edu and port 993
    > Authenticated e-mail service using the following address esmtp.esade.edu
    > Authenticated, secure e-mail service using the following address esmtp.esade.edu and port 587
    > Antivirus filter for incoming and outgoing e-mails
    > "Spam" marker to flag spam
    > E-mail blocking using sender blacklists
    > Calendar and private address book
    > "Out of office" auto-reply message
    > Global address book
    > Mailbox storage limit indicator
    > Global, private mailing lists
    > Mail forwarding to another e-mail address
    > Periodical backup copies

  • 2. Description of the service:

    Fundació ESADE's e-mail service consists of several elements:
    On the one hand, there is the primary mailbox system. All the e-mails from and to all users pass through this system, since port 25 is closed to sending and receiving all mail in the institution's entire network.
    The primary mailbox system is made up of four machines in a high availability configuration. Two machines accept the incoming mail and the other two send the outgoing mail.
    Spam and viruses are filtered using a Trend Micro e-mail antivirus, which is integrated into the ingoing and outgoing mailboxes.
    The authenticated pop3, pop3s, imap4, imap4s, smtp and smtps services and webmail are carried out by two machines that share the load.
    The mailboxes are contained in the other two machines that work together, which provides a high-availability cluster.

    3. Antispam and antivirus policy:

    The antivirus system eliminates any e-mails containing a virus.
    Any e-mails that look like they might be spam are marked as "Spam" in the subject line.
    E-mails from senders marked as spam are blocked by the incoming mailbox.

    4. Logs policy:

    Fundació ESADE's ICT Services store e-mail system log files for 1 year. These logs contain information about a message's IP address, sender(s), recipient(s), the exact date the message was received in the mailbox management queue, the type of machine used to send it, the sending resolution (if it was sent successfully or not), etc. The contents are not stored, as established in article 12 of the LSSI (Spanish Law 34/2002 regarding Information Society Services and Electronic Commerce).
    The stored information is only used for statistical purposes and to resolve any problems. It is not in the public domain.

  • 5. Limits for the size of messages and the mailbox:

    The maximum size of the messages that can be sent or received is 10 MB; these limits are indicated in both the incoming and outgoing mailboxes.
    The maximum size of a student's mailbox is 100 MB. If a user's mailbox exceeds this limit, no more e-mails will be received in the mailbox until the user deletes messages in order to bring the size below the 100 MB limit. When the limit has been exceeded, no messages can be sent either.

    6. Recommendations for the correct use of the e-mail service:

    Remember that you are responsible for your e-mail account. Take care of your password and try to avoid using words or names that might appear obvious (such as, for example, using your user name as a password).

    > Ways of reducing the size of your mailbox:

    Most messages are very small and it is the attached documents that take up more space. If we are only interested in the attached file, we can download it onto our computer and then delete the message. We can also delete obsolete messages or those we do not want to keep (spam, for example). If you leave your messages on the mail server, please do not forget to 'clean up' your e-mails.

    It is important to empty the contents of the recycle bin to get rid of unwanted files.

    > Maximum number of e-mail recipients:

    The primary mailbox service is configured to accept messages sent to a maximum of 1,000 users at one time.

    If you use pop or imap to access your Fundació ESADE e-mails, we recommend you use pops and imaps (secure pop or imap).
